HOA Management Companies

This may be a longshot but figured I'd try anyhow. The townhome complex I live at is currently trying to find a good association management company since homeowners are fed up with our current one and their lack of action on many issues. Our community is falling apart and they are not doing their job!

Any recommendations of a responsive and competent business?

We use First Service Residential. They are 200% better than our old one. But old one was terrible. Send weekly updates, process bids quickly (gotta watch the price tho). Respond well to residents via email

It's funny because FSR was the first management company my neighborhood used - they were awful and we couldn't get away from them fast enough.

The neighborhood uses Crest now, but I think it's still too early to tell how effective they are. They were a change from PMG who were fine until they weren't.

Anybody else use FSR who can chime in? They were one that caught my eye so any additional feedback on them would really help.

We have montage community services for our neighborhood and they seem to be doing a good job, they are responsive to residents and keep open financials that I have seen

I have been a manager in DFW for nearly 10 years and have worked for a few companies. The company I work for now doesn't service Houston, so I'm not benefiting in any way from this advice -

The large, national companies are typically going to have a cheaper base fee. They will generally have more admin support for the managers, better software, maybe even a call center to handle routine questions. They will have internal hierarchy, so if you do have problems, you can escalate up the chain to get resolution. They will also have handy resources you might want - project managers, security, handymen services, websites - so they can act as a one stop shop for all your needs.

But all those extras come with a price, and that's also how they compensate for those low base fees. Look at the schedule A fees - how much are you paying for copies, postage, certified letters, envelopes, storage etc - that can easily add up to another $1k a month.

And, larger companies tend to have a higher manager workload and thus more turnover. As someone said downthread - the individual manager assigned to your property matters much more than the company itself. So when you interview companies, ask what the portfolio manager property load is (if it's more than ten, that's a concern). Check Glassdoor for employee reviews, check Indeed for ads. Are they constantly hiring for the same positions? You can also just outright ask what their turnover rate is but they probably won't tell you. If you ask about the experience level of your potential manager, they will probably say they haven't decided who would get your property yet, but that could send the signal that you want someone with experience.

Don't bother with Google or BBB reviews - they are usually from people upset about a board decision, and don't realize that the management company is different than the board.

As of September 1, all HOAs must have a publically accessible website so you can find a lot more of their clients than the ones they give you for references. Drive around and look at them, see how well kept up they are. Granted, a poorly maintained community may be the result of a bad board but a good management company would fire them as a client.

Small, local management companies have their pros and cons too. Usually lower turnover, often more flexible to a board's needs, since they don't have as many clients. Base fee might be higher, but with fewer extra fees.

Take your time; changing management companies is a pain so you don't want to have to do it again in a year.

Call Erica with Associa on El Camino in Clear Lake. I was working for an HOA Board and that is the company they chose. Although they reworked the contract not to have an onsite manager, I would have loved to work with them. They have a great offering and reasonable price if your HOA has reserves for repairs etc. Sometimes it is not the management company but the HOA board who do not know or administrate their roles. Then, that really falls on the owners who did not do their homework and read the bylaws and attend meetings and ASK questions.
